Organizations

Your Office AI organizes everything into Organizations — your company's top-level account. Each organization is an isolated tenant with its own data, members, integrations, and settings.

What is an Organization?

When your company starts using Your Office AI, you create an Organization. Think of it as your company's account: it has its own roster of members and contains all of your workspaces, knowledge, agents, workflows, and integrations. Everything in the app belongs to exactly one organization.

Crucially, each organization is a fully isolated tenant: it runs against its own database with its own members, settings, integrations, and usage budgets. One organization can never see another's data. You can belong to several organizations at once and switch between them instantly.

Organization vs. Workspace

An Organization is your company account (an isolated tenant). Workspaces are collaborative spaces inside that organization — like teams, projects, or clients. See the page for details.

How access works

Signing in is a two-stage flow. First you authenticate with the Auth Server using email and password or Google. Then you choose an organization, and the Auth Server issues a short-lived, signed tenant token (a JWT) scoped to that organization. The app attaches that token as a bearer credential on every call to the organization's Tenant Server — which is how data stays isolated between tenants.

Creating an Organization

Creating an organization takes less than two minutes. The person who creates it becomes its first administrator.

  1. Sign up at app.yoffice.ai

    Go to app.yoffice.ai and create an account with your email and a password, or continue with Google.

  2. Create the organization

    From the organization selection screen choose "Create organization" and give it a name. This is used as the display name throughout the app and in notifications.

  3. Invite your team

    Open Settings → Organizations → Members and invite colleagues by email. They join with the member role by default; you can change roles afterwards.

  4. Set up the basics

    Configure Voice & AI, connect a few integrations, and create your first workspace. Admins manage all of this from Settings.

Organization vs. Workspace

Members belong to the organization first, then join one or more workspaces. Organization-level settings — Voice & AI, features, rate limits, and budgets — apply across all of its workspaces.

Switching organizations

Because a single account can belong to many organizations, Your Office AI lets you switch between them without signing out. Use the organization switcher to change the active organization; the app requests a fresh tenant token and reloads that organization's workspaces, chats, and settings. When you have no active organization, a selection overlay prompts you to pick or create one.

Managing your Organization

Administrators manage an organization from Settings → Organizations → Org Settings. The admin surface covers:

Choose voice pipelines and avatars, and configure the voice assistant for the organization.

Point the organization at a LiveKit server URL and credentials for real-time voice and video.

Turn each feature on for the whole org, scope it to specific users, or disable it entirely.

Rate limits & budgets

Set spend limits and call quotas per provider and integration. Every cap has a positive minimum — zero disables a feature, it is never unlimited.

Organization members & roles

Members are added at the organization level and can then join any number of workspaces. There are three organization roles:

Usage & billing

Each organization has a usage and billing view that tracks spend against budgets, shows per-service progress, and auto-disables a service when its budget is exhausted — keeping costs predictable and within the limits admins set.
